1. Important information and who we are

This privacy notice aims to give you information on how we collect and process your personal data through your registration with our clinics and use of our website, including any data you may provide through our website when you sign up to our newsletter for instance, or purchase a product or service.

It is important that you read this privacy notice together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy notice supplements the other notices and is not intended to override them.

Moloney Veterinary Clinics are the Data Controller as defined by the General Data Protection Regulations (GDPR) and may collectively be referred to further in this policy as “we” “us” or “our”. Moloney Veterinary Clinics is registered as a Data Controller with the Information Commissioners Office (ICO) with the registration number: ZA069935.

2. What data we collect about you

Personal data, or personal information, means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows:

Identity Data including first name, last name, title and gender
Contact Data including billing address, home address, email address and telephone numbers
Pet Data including the name, age, species, breed, gender, insurance records and medical history of your pet(s)
Transaction Data including details about payments to and from you and other details of products and veterinary services you have purchased from us
Technical Data using Cookies Moloney Veterinary Clinics do not use cookies in any form and therefore do not collect or store any technical data from your device.

3. How is your personal data collected?

This data is collected when you register with us either in person or via our website. We may also gather information when you voluntarily complete customer feedback and surveys.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences. We do not knowingly collect or use any data about children under the age of 18.

If you choose not to provide personal data Where we need to collect personal data under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with products or veterinary services). In this case, we may not be able to provide you with a product or service you have requested from us but we will notify you if this is the case at the time.

4. How we use your personal data >

Most commonly, we will use your personal data in the following circumstances:

Primarily to assist us in locating your pet and its health and treatment records on our database. This enables us to provide the best possible care and treatment for your pet when under our care.
To contact you about the treatment or healthcare of your pet which is under our care.
Only with your consent and when beneficial either to you, your pet, or Moloney Veterinary Clinics, your information may be passed on when required to veterinary colleagues for the purposes of second opinions, referrals, or a change of practice.
We will also pass on your details to our 3rd party Micro Chipping Company for the purpose of registering your pet onto the Micro Chipping Database.
We will not pass on your details to any other 3rd party companies for unrelated business without your consent.
Where necessary we may send your details to (and also use information from) credit reference, debt collection and fraud prevention agencies
When you register with Premier Pet Care Plan, we will share the necessary personally identifiable data with them to allow them to provide you their services. We will not share any additional data that we may hold that is not required by them.

Marketing
Moloney Veterinary Clinics does not use your data for marketing purposes of any kind. We may contact you from time to time if we have information to pass on to you regarding our clinical facilities and treatments which are of direct relevance to your pet when under our care. We do not use your data to promote our services in any way, make offers, or ever pass your data on to 3rd parties for marketing purposes of any kind.

We have set out below, in a table format, a description of all the ways we plan to use your personal data, and which of the legal bases we rely on to do so. We have also identified what our legitimate interests are where appropriate and have carried out a Legitimate Interest Assessment to record this.

Cookies
Cookies are a kind of short-term memory for the web.  They are stored in your browser and enable a site to remember little bits of information between pages or visits. They are widely used to make the web experience more personal, which is generally seen as a positive thing. However, some cookies collect data across many websites creating ‘behavioural profiles’ of people. These profiles can then be used to decide what content or adverts to show you.

Moloney Veterinary Clinics do not use such cookies. We have no need or interest in gaining additional data of any type, and do not store, require or use any type of data or cookies to profile or engage with our users for marketing or to target advertising in any way.

5. External Links

We provide links to additional services offered by 3rd party companies relating to pet care and insurance. They are as follows:

Premier Pet Care Plan – this is a care plan designed to save our clients money and provide a facility to spread payments. We will organise this facility for clients within the clinics and take initial payments. We will share the necessary personally identifiable data with Premier Pet Care Plan to allow them to provide you the services for which you have registered, we will not share any additional data that we may hold that is not required. This service is operated by the company Premier Pet Care Plan whose website may be accessed independently at www.premierpetcareplan.com. Any clients using this website and service will be subject to the data protection and privacy policies of this company, and subject to the cookie policy of this company for which we accept no responsibility.

Vetsure Pet Insurance – Moloney Veterinary Clinics are accredited as an Appointed Representative of Vetsure Insurance, and provide details and a direct link to their website from the Moloney Veterinary Clinics website (www.vetsure.com) Any clients using this company’s website and service will be subject to the data protection and privacy policy of this company, and subject to the cookie policy of this company for which we accept no responsibility.

Facebook – the Moloney Veterinary Clinics website has a link to our Facebook page directly from our home page. Clients who link through to Facebook from our website are subject to the data protection and privacy policies of Facebook for which we accept no responsibility.

6. Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality.

All personal data, in either digital or hard copy format is stored securely at our premises. We adopt industry standard and recognised anti-virus and firewall technology to protect all data. All staff are trained in secure management and handling of individuals data at all times. We have put in place procedures to deal with any suspected personal data breach and will notify you and the ICO of a breach where we are legally required to do so.

7. Data retention

We will retain personal data for as long as necessary to fulfil the purposes for which it was originally collected (as detailed above in Section 4 - How we use your personal data). After a pet ceases to be under our care, we will retain basic information about our customers (such as contact, identity, pet and treatments, financial and transaction data) indefinitely for legal, business and clinical purposes.

We will not under any circumstances use this data unless it is completely necessary. We will only ever use the minimal data required, and wherever possible we will anonymise any personally identifiable data if it is not needed as part of the required process. Retained data will never be used for marketing purposes of any kind, and will never be passed on to any 3rd party for marketing purposes.

CCTV recordings are kept for 30 days within the equipment, after which time the data and recordings are deleted.

8. Your legal rights

You have rights under data protection laws in relation to your personal data. These are detailed below:

Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
Object to processing of your personal data where we are relying on a legitimate interest and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.
Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the data’s accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

We may request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We will respond to all legitimate requests within one month.

If you wish to exercise any of the rights set out above we will be pleased to comply. It is important however, that you should be aware that restricting processing, opting out, or exercising your right to be forgotten may adversely affect the services we are able to provide your pet whilst it is under our care.
